Job Description:                                 OR Administrative Assistant

 

Department:                                         Nursing Services - Operating Room

 

Responsible To:                                   Director and charge nurse of operating room                               

 

Experience:                                           Experience working in a medical office preferred. 

 

Skills and Abilities:                              Clerical skills required, including typing, computer and filing. Customer service skills required.  

 

Physical Requirements:                      Requires constant walking and standing; frequent stooping, kneeling, reaching, handling, feeling, talking, hearing, and mental/visual strain.  Occasional heavy work (exerting 50-100 lbs of force up to 1/3 of the time); frequently exerting moderate force (21-50lbs of force up to 2/3 of the time); and constantly exerting force (10-20 lbs of force) to move objects and patients.

 

Environmental Conditions:               Primarily works inside (> 75% of time) but may experience the following hazards: constant exposure to biological (particularly blood), radiation, needles and other sharps. 

 

Occupational Exposure:                    Category III = Job involves tasks or procedures that have no exposure to blood and other potentially infectious materials during the performance of duties.

 

 





Skills/Requirements

 

ESSENTIAL RESPONSIBILITIES:

  1. Under the supervision of the OR director and/or charge nurse, performs diversified secretarial related services directed towards geriatric, adult and adolescent patients comfort and personal needs.   
  2. Organizes and maintains required files and records often of a confidential nature. 
  3. Processes improvement typing for OR director, answers phones, takes messages and/or redirects calls for the director. 
  4. Orients patient and family members to environment and unit/hospital facilities, i.e. waiting rooms, holding area and PACU. 
  5. Assists with unit procedures i.e. surgical scheduling, obtaining beds (prn).  Notifying, surgeons about delays, consent issues and lab issues.
  6. Utilizes Meditech to obtain needed paperwork (consent, lab work, history and physical, x-rays and EKG) to maintain an orderly patient record thus expediting the surgical procedure. 
  7. Utilizes Microsoft Word and Excel to develop and prepare letters, memos, agenda items, newsletters and reports in order to maintain effective communication between staff surgeons, offices and ancillary departments. 
  8. Utilizes Microsoft Excel to prepare month and year end graphs and reports. 
  9. Utilizes Kronos to maintain accurate recording of employee’s actual working time thus optimizing productivity within financial controls.
  10. Answers telephone in a timely and personable manner assuring messages are given to the appropriate personnel, notifying ancillary departments concerning changes in the surgical schedules, lab work, call schedule and retrieving in-house patients.
  11. Attends staff meetings and prepares minutes.
  12. Performs other job related duties as assigned by Director.
